Hotel Reservations in Spanish (A2): Polite phrases, dates, and details

First contact: greeting and purpose
When you call or write to a hotel, start with a polite greeting and state your purpose.
- Buenos días / Buenas tardes — Good morning / Good afternoon
- Quisiera hacer una reserva. — I’d like to make a reservation.
- Me gustaría reservar una habitación. — I would like to book a room.
- ¿Tiene habitaciones disponibles? — Do you have rooms available? (usted)
- ¿Tienen habitaciones disponibles? — Do you have rooms available? (plural, to the hotel)
Use “usted” forms at hotels. They sound polite and professional.
Quisiera una habitación doble para dos noches.
Polite requests: quisiera, me gustaría, podría
In Spanish, the conditional is great for polite requests.
- Quisiera… — I would like… (very polite)
- Me gustaría… — I would like… (polite)
- ¿Podría…? — Could you…? (formal/polite)
Examples:
- Quisiera una habitación individual, por favor. — I’d like a single room, please.
- ¿Podría confirmar mi reserva? — Could you confirm my reservation?
“Podría” comes from the verb “poder” (to be able). These forms are common in calls and emails.

Dates and length of stay
Hotels will ask: ¿Para qué fechas? — For what dates?
Answer with:
- Del 12 al 15 de mayo. — From May 12 to 15.
- Para dos noches. / Por dos noches. — For two nights. (Both are used; “para” focuses on plan, “por” on duration.)
Also useful:
- Llegada: 12 de mayo. — Arrival: May 12.
- Salida: 15 de mayo. — Departure: May 15.
Build a clear booking sentence with dates.
Price and amenities
Ask clearly about what’s included.
- ¿Cuál es la tarifa por noche? — What is the rate per night?
- ¿Cuánto cuesta por noche? — How much is it per night?
- ¿Está incluido el desayuno? — Is breakfast included?
- ¿Hay estacionamiento? — Is there parking?
- ¿Tiene baño privado? — Does it have a private bathroom?
- ¿Wi‑Fi gratuito? — Free Wi‑Fi?
Keep it simple, and confirm the details.
Confirming and spelling names
Hotels often ask: ¿A nombre de quién? — Under whose name?
Reply:
- La reserva está a nombre de… — The reservation is under the name…
- Mi apellido es… — My last name is…
- ¿Podría deletrear su apellido? — Could you spell your last name?
If you have two surnames (common in Spanish-speaking countries), you can give both: “Ana López García”. For international systems, sometimes one surname is enough.
¿ enviarme la confirmación por correo electrónico?
Estoy reservado una habitación. → Tengo una reserva. To say you have a booking, use “tener una reserva”. “Estoy reservado” sounds like you (yourself) are booked/occupied. ¿Qué hora es el check-out? → ¿A qué hora es la salida? “Salida” is a clear Spanish alternative to “check-out”. “Entrada” for check-in.Check-in/out and final details
- ¿A qué hora es la entrada (check-in)? — What time is check-in?
- ¿A qué hora es la salida (check-out)? — What time is check-out?
- ¿Dónde está la recepción? — Where is the front desk?
- ¿Podrían enviarme la confirmación por correo electrónico? — Could you send me the confirmation by email? (plural polite)
- Quisiera cancelar/modificar mi reserva. — I’d like to cancel/modify my reservation.
Keep confirmations in your email. If booking by phone, ask them to “confirmar por correo.”
Cultural notes
- Date format: Many Spanish-speaking countries use day/month/year (12/05/2026). When speaking, you may hear “doce de mayo”.
- Time: 24-hour time is common in schedules (14:00 for 2:00 pm).
- Formality: Use usted with hotel staff. “¿Podría…?” and “Quisiera…” are polite and standard.
- Email confirmations: “confirmación” is common; sometimes “voucher” in Latin America.
Be ready to repeat slowly and spell names: “Se escribe L‑O‑P‑E‑Z.”
